Using DictaMail is straightforward and efficient:
- Set up your DictaMail account After installing the DictaMail extension and before you can begin using DictaMail’s powerful email assistance features, you’ll need to create an account or sign in:
- When you first attempt to use the Assistant buttons, you’ll see a banner at the top of your screen prompting you to “Sign in to DictaMail to use the email assistant”
- Click either “Sign In” if you already have an account or “Create Account” to register
- You’ll be directed to the DictaMail authentication page where you can complete the sign-in process
- Once signed in, you’ll have full access to all DictaMail features
- Access DictaMail’s AI email assistant After installing the DictaMail extension, you’ll notice two new buttons in your email interface:
- An “Assistant Compose” button next to the standard Compose button
- An “Assistant Reply” button at the bottom of opened email conversations
- Grant necessary permissions (first-time setup) When using DictaMail for the first time, you’ll be prompted to allow access to your mailbox. This enables DictaMail to understand conversation context and create more relevant responses. Don’t worry—if you prefer not to grant these permissions, you can still use DictaMail in fallback mode, which can be activated in the settings.
- Provide your instructions Once you click on either Assistant button, a popup will appear with an instruction input field. You can:
- Type your instructions directly
- Use voice input for hands-free operation
- Generate your email Click the “Generate Reply” button, and DictaMail will craft an email that:
- Follows your specific instructions
- Considers the conversation history and context (when replying)
- Maintains your professional voice
- Adapts to appropriate formality levels based on your relationship with the recipient
- Refine your message Not completely satisfied? DictaMail offers multiple ways to perfect your email:
- Edit directly in the response preview field
- Add more instructions via text or voice in the “Edit Email” field
- Adjust tone, length, or add details as needed
- Click “Apply” to implement your changes
- Send your email When you’re happy with the result, you can either:
- Copy the text using the icon at the top right of the response preview
- Click “Apply” to automatically insert the text into your email composition window
